Exhibitor Ts&Cs

The North East Dog Festival

Bookings are not accepted until paid for in full and accompanied with your risk assessment and copy of your public liability insurance using the Funky Trade Dashboard. If you are food you will require to upload food hygiene as well.  Please get in touch if you have any queries.

All trade stands must be set-up by 9.00am on Saturday 2nd September 2023 and Sunday 3rd September 2023.  

​

A member of staff will be on hand to direct you to the correct area if you are unsure where to go. Further details will be sent nearer to the event date in your trade stand pack. Your trade stand includes 4 weekend exhibitor passes; any further passes must be purchased online to be scanned. There will be no access via the main gate for exhibitor helpers/volunteers without a paid ticket. There will be no admittance without a paid festival ticket.

The show management reserves the right to refuse entry to the showground for any traders that arrive too late to setup. 

You must take note of your trade stand pitch number and mapping before the day of the festival; this will be sent to you prior to the festival weekend via email; this pack also includes clear instructions on access roads to Kirkley Hall and when on site. This helps us to minimise queues onto site. You must know your pitch number prior to attending.

Every effort is made to ensure an even distribution of stands on the showground. To facilitate this please provide a concise list of products sold in the space provided. If you would like to be in a certain area please let us know, whilst we cannot guarantee requests, we will do everything we can to try to accommodate them. 

​

If we feel your business may conflict with another we will call to discuss further details. Please note that all stands go through an approval process.

| TERMS AND CONDITIONS |

No tables are provided for traders unless otherwise stated.  

​

All stalls must be set up by 9.00am on Saturday 2nd September and Sunday 3rd September and the stalls may not be taken down until after 4.30pm on Sunday 3rd September.  We reserve the right to refuse trade stand entry if you are not on site before this time. There is NO vehicle movement between the hours of 9am and 5pm on both Festival days without express permission and steward escorts. There are no exceptions.

Naked Flames are not permitted on trade stands at any time. Generators of the silent type may be used, but must cause minimal disruption to other stallholders. They must be included on your risk assessment and appropriate insurances in place. 

Castle and Country Dog Training Ltd. retains the right to refuse a stall at our discretion.

Traders are responsible for the health and safety relating to the safe operation of their activity, for example, traders must ensure that no items/boxes obstruct walkways and public standing areas around their trading area, please be aware of hazards relating to slips, trips and falls.

​

No stand must exceed the space booked and neither it nor any vehicles must trespass on adjoining trade stand plots. Exhibitors must book sufficient space to accommodate their exhibits.

​

Staff will be on site throughout the night on Friday and Saturday however traders leave goods overnight at their own risk. 

All litter and refuse should be removed from the site and disposed of by the trade stand owner. Trade stand areas should be litter free throughout the Festival and traders should ensure that their pitch is clear of litter at the end of the Festival. Please do not use the black bins when leaving if getting rid of large amount of rubbish - use the skips. DO NOT leave cable ties in your pitch space - you must clear all rubbish. No hot oil should be emptied into festival bins. Failure to comply will result in refusal to exhibit at further shows and/ or removal of trade stand from the site. This is a working farm and rubbish poses a threat to livestock.

Whilst every effort is made not to duplicate goods, we accept no responsibility for similar trade stands at this event. 

The North East Dog Festival is organised and operated by Castle and Country Dog Training Ltd. The North East Dog Festival name is a trademark owned by Castle and Country Dog Training Ltd and therefore must not be used in any other context other than approved advertising for the show, unless prior permission is given.

| CANCELLATION | 

If you need to cancel your trade stand space, please notify the Organisers in writing as soon as possible. We reserve the right to re-let any cancelled space. Refunds will apply as follows: Prior to 30th April 2023 - 90% will be refunded. Between 1st May and 30th June 2023 - 50% will be refunded. From 1st July 2023 onwards - no refund will be given. Bookings close at the end of July.

We will not make any refund of the booking payment except to the extent permitted by law, Castle and Country Dog Training Ltd shall not be liable to you for any indirect or consequential loss, damage or expenses (including loss of profits, business or goodwill) howsoever arising out of any booking cancellation and Castle and Country Dog Training Ltd shall have no liability to pay any money to you by way of compensation. The organisers shall not be liable to any exhibitor in the event of the show being disrupted or cancelled due to bad weather, major accident, civil unrest or any other cause beyond the organisers control and in these instances no refunds will be issued.

| DATA PROTECTION |

Castle and Country Dog Training Ltd will retain all information supplied by applicants solely for administration use by Castle and Country Dog Training Ltd. No details will be passed to any third parties without express permission of the applicant.

Details provided above will be used for festival booking correspondence. Company details will be published online and in the festival show programme.
